Max watches the other agents. When one of them gets something wrong, tell him here — he reads every lesson already learned for that agent, works out what went wrong, and writes an addition to that agent's instructions. Nothing changes until you press Apply.
Anything the agents must always do, or never do. Write it the way you would say it to a new person on the team. Every rule here goes into the agents’ instructions before they do any work, so it applies to posts before they are written, not as a correction afterwards. Short rules are followed better than long ones.
Tell Max what went wrong, in your own words. He writes a fix. Nothing changes until you approve it.

A different job: Finn reads Deskhand's own source the way a senior engineer reads a diff, a few files at a time. Report-first — a proposed fix is only ever applied when you press Apply, and applying one restarts Deskhand.
Choose what the AI does in a chat after someone from your team replies, either from the WhatsApp Business app on the phone or from this inbox. It applies only to that one chat; every other chat keeps getting AI replies.

For each client: what their chatbot and agents cost you this month, what you charge them, and how that compares with their package. The month starts again on the 1st. Costs are worked out from the AI providers' list prices, so your AI bill is the final figure.

Admin accounts

Each person gets their own login. Roles: owner manages this page; staff gets everything else; accountant is intended for finance-only access. The shared master password still works as an owner-level break-glass login — leave the email field blank on the login screen to use it.

Your name on your clients' portal

Your clients sign in to a portal and read reports. This decides whose name is on them. Your own dashboard here always says Deskhand — changing that would only make it harder to get help.

Audit log

Sensitive actions only — logins, client changes, payroll writes, account changes. Append-only; there is no way to edit or delete entries from the app.

Sending mailbox

The mailbox Deskhand sends lead alerts and reports from. A mailbox on your own domain, such as alerts@yourdomain.com, lands in inboxes best.

The password of the mailbox. It is stored encrypted and never shown again.

Who gets lead alerts

Every new lead from any chatbot is emailed straight away, with their name, email, phone and what they asked about.

More than one address? Separate them with commas. Blank sends them to the mailbox above.

Replies from leads

When a lead writes back to an automation or campaign email, the client's chatbot answers from this same mailbox, the way it does on WhatsApp. A reply saying STOP or unsubscribe opts the person out instead. Nothing older than the moment you switch this on is answered.

Only needed when reading uses a different password from sending.

Agent schedule

When each agent runs. Changes here save themselves.
You never have to wait for this timetable: every website has a Check only and a Scan and fix now button.

Every change, check and fix the agents made, and every problem somebody ticked off. Each line says who, which website, when and why. To undo a change, open that website's own page.

Duplicate contacts

The same phone number or email twice for one client. Merging keeps the oldest contact and moves notes, tasks, bookings and the timeline onto it; the others show as "Came back" on its timeline.

Test contacts

Contacts that look like tests (test@ emails, "test mail", "please ignore") or that someone marked as a test. Tick the ones to remove. Removed contacts leave every list and count, and stay in the records.

Integration health

Live state of every cron schedule, HR mailbox, WhatsApp token, the AI key, and the mailer itself. An automatic sweep re-checks everything hourly; when a check flips from OK to failing, an alert email goes to the internal inbox (once per 6h per check, so no spam during an outage).
